Step 1: Sign up with Xero
You need a Xero account to sync to. If you do not have one, please go to www.xero.com to sign up.
Step 2: Avoid Xero's "Demo Company"
When you sign up with Xero, your account will have a "Demo Company" organisation with some sample data.
Do not sync MechanicDesk with the "Demo Company."
Unless your MechanicDesk account's data is disposable, syncing with the Demo Company will cause the sample data to be synced from Xero back to MechanicDesk, polluting your MechanicDesk data.
Step 3: Initialise Xero Integration from MechanicDesk
Go to Settings > Integrations > Click “Start Integration” > Ensure Xero is selected > Click “Save.”
Click on the "Sync" button on the right-hand side.
A pop-up window will open, and you will be redirected to a Xero page that requests your permission to give MechanicDesk access to your Xero account.
Choose the organisation you want to sync with MechanicDesk and click on "Authorise."
The sync process is now started.
First Sync Resources
On the first sync request, MechanicDesk will sync the following resources:
Chart of accounts
Suppliers
Customers
Stocks
Please Note: If you have a lot of stocks in MechanicDesk, the sync process can take a while, so please be patient.
Step 4: Confirm Your Accounts
After the first sync request is finished, you will need to set up your accounting accounts. This involves accounts for:
Invoices
Different payment types
Bills
Bill payments
MechanicDesk automatically detects the accounts and selects sensible default values for you. However, you will need to:
Review your accounts.
Make any necessary changes.
Confirm your selections.
Step 5: Start the Sync Again
After you have confirmed the accounting accounts:
Click on the "Sync" button to start the sync process again.
This time, as the accounting accounts have been confirmed, invoices, payments, bills, and bill payments will be synced.
