This Help Video explains how to customise your invoice settings in MechanicDesk, including invoice templates, invoice numbers, footer text, rounding, terms and conditions, and advertising images.
Open Invoice Settings
From the top navigation bar, go to Settings, then select Workshop Details.
On the right-hand side of the screen, select the Invoices tab.
This is where you can manage your invoice layout and invoice-related settings.
Choose an Invoice Template
MechanicDesk provides several invoice templates that you can choose from.
Select the template you would like to use for your invoices.
Set Your Invoice Number
You can also configure your current invoice number.
The number you enter here will be used as your next invoice number. After that, MechanicDesk will automatically increase the invoice number by 1 each time a new invoice is created.
For example, if you set the current invoice number to 1000, your next invoice will be 1000, then the next one will be 1001, and so on.
Add an Invoice Footer
The Invoice Footer section allows you to add text that will appear at the bottom of all invoices.
This is commonly used for information such as:
- Payment options
- Bank account details
- Thank-you messages
- Warranty notes
- Business terms
Configure Invoice Rounding
The Rounding setting controls whether MechanicDesk rounds the invoice total when an invoice is finalised.
You can enable or adjust this depending on how you want invoice totals to appear for your customers.
Add a Digital Signature Statement
The Digital Signature and Authorisation Statement allows you to enter the text shown when a customer signs an invoice.
This option is used when the Digital Signature add-on is enabled for your workshop.
Attach Terms and Conditions
The T&C Attachment option allows you to upload a PDF file that will be attached to every invoice.
This is commonly used for terms and conditions, but you can upload any PDF you would like included with your invoices.
Add Advertising to Invoices
The Advertising on Invoice option allows you to upload an image that will appear at the bottom of your invoices.
This image will display below the invoice footer and can be used for promotions, reminders, offers, or other workshop information.
Further Invoice Customisation
The invoice settings in Workshop Details allow you to make basic customisations to your invoices.
