This guide explains how to use the Saved Texts feature in MechanicDesk.
What Are Saved Texts?
Saved texts allow you to reuse blocks of text that you frequently use, removing the need to repeatedly type them out.
Saved texts can also be more powerful through the use of variables.
Open Saved Texts
From any page in MechanicDesk, click the tool icon in the top-right corner.
Select Saved Texts.
This is where you can view all your saved texts and search for them if needed.
You can also copy saved texts directly to your clipboard from this page.
Create a New Saved Text
To create a new saved text, enter a name.
You can also add a subject if the saved text will be used in emails.
Then enter the text you want to save.
On the right-hand side, you will see a list of applicable variables.
Using Variables
Variables are replaced by relevant data, depending on where the saved text is being used.
For example, if you use a saved text in an email to a customer, you could use the Customer Name variable.
When the saved text is used, the Customer Name variable will be replaced with the customer’s actual name in the email.
Example Saved Text
As an example, you can create a saved text called Unpaid Amount Follow Up.
Enter the message, including a greeting.
To use a variable, enter a percent sign and the variable surrounded by two curly brackets.
You can also include variables such as Vehicle Title and Unpaid Amount.
Click Save when finished.
Use a Saved Text on an Invoice Email
Navigate to an unpaid invoice.
Click Email Invoice, then click the three blue dots above the message.
Find your saved text and click Replace.
This will replace what is currently in the message box with your saved text.
The customer’s name, unpaid amount for the invoice, and vehicle title will be inserted into the message.
Copy a Saved Text Manually
If you need to use a saved text elsewhere in MechanicDesk and cannot find the three blue dots, click the tool icon again.
Find your saved text and copy it to your clipboard.
Note that copying a saved text this way will not replace variables, so it is best to use this method for generic saved texts.
