How do I track hours for non-productive team members or internal activities?
For example:
A workshop admin on a casual contract
A leading hand who is 50% productive (jobs) and 50% non-productive (office work)
An apprentice spending the first hour of their shift on cleaning and organising tooling
Answer
Yes, you can track these hours by creating an Internal Job in MechanicDesk.
Create an Internal Job
Go to Jobs > New Job.
Set the customer as your workshop
Once the job is created, click Timesheets > More Actions and set it to Internal Job.
Clocking On
Staff can clock on to an Internal Job when performing non-productive or workshop-related tasks (e.g. cleaning, admin, organising tools).
On chargeable jobs, internal time can be clocked for non-chargeable work such as warranty work.
Tracking
All time recorded against this job is marked as Internal.
This time can be viewed and analysed in the Productivity Report to understand how much time is spent on internal or non-billable activities.
Tip
You can create multiple internal jobs (e.g. Workshop Admin, Cleaning and Setup) to get a clearer breakdown of how non-productive hours are spent.
