Bulk updating your data in MechanicDesk is quick and easy. You can update stock items, service attributes, and other records by exporting, editing, and re-importing your data. Follow these steps carefully:
1. Export Your Data
Go to Settings → Data Export/Import
Select the type of data you want to update (for example, Inventory)
Click Export to download the file
2. Edit the File
Open the file in Excel or another spreadsheet program
Keep the UUID column — this is how the system knows which record to update
Update the fields you need, such as categories, descriptions, or other attributes
Remove any unnecessary columns to make editing easier
3. Re-import the File
Go back to Settings → Data Export/Import
Click Upload and select your edited file
The system will process your file, updating existing items and adding any new ones automatically

Special Instructions for Updating Stock Numbers
The system uses the stock number as a primary key (UUID) to identify which stock record is being updated. Because of this, to bulk update stock numbers you must include an additional column labeled “new stock number.”

The new stock number column can be left blank or populated with whatever value you want. Once the file is uploaded, the system will use this column to bulk update the stock numbers for the matching items.
