The following article will show you a quick method of recording excess payments for jobs with insurance claims.
Create an invoice to the vehicle owner for the excess amount
Create a new invoice and fill in the details of the vehicle owner and vehicle.
DO NOT select to invoice to a 3rd party on this invoice, that should be reserved for the main job invoice (the claim invoice).
Create a line on the invoice for the excess total.
Consider creating an inventory item for tracking Excess payments and use that for all Excess invoice lines. You can assign this item a different Chart of Accounts code to keep track of excess payments movements.
Finalise the invoice and forward to the vehicle owner.
Applying the excess to the insurance claim invoice
On the main invoice, add a line showing the amount of excess the customer has paid as a negative unit price. Quantity should always be positive.
If you have used an inventory item to track Excess payments, use the same inventory item on the main invoice.
This will then result in an invoice for the insurance company minus the excess the customer has paid.
